How Do I Get on an Operator's Approved Vendor List?

By Amanda Leon, founder of OilMoney.io. Houston-raised, came up in the Houston marketing team of Vallourec, and has run Unrth, a brand and growth studio for oil and gas and industrial companies, since 2017, with her boots on client locations in Midland and Odessa. Last reviewed October 20, 2026.

You get on an operator's approved vendor list by clearing that operator's prequalification. At Apache, Ovintiv, and ConocoPhillips, that means some mix of a corporate tax number, proof of insurance, an ISNetworld grade for on-site work, and registration in the portal where orders and invoices move. Then somebody inside still has to ask for you by name.

Paperwork, insurance, and safety records do the gatekeeping. No LinkedIn presence gets you past a missing certificate or a failing ISNetworld grade.

Flame-retardant clothing is a must before I go on location, so the trip starts at the store. Carhartt makes some decent stuff. Even the long-sleeve shirt I picked up is FR, and I went with beige on purpose: a lighter color soaks up less sun, so it won't bake you in the Midland Odessa heat. People say safety first all the time. I'm glad to know they practice it, too.

An operator's vendor gate asks the same of your whole company. Anybody can print safety first on a capability sheet. The gate checks whether your records show you practice it.

Work the Gate in This Order

  1. Read the operator's own supplier page and list exactly what it asks for.
  2. Put your tax number, insurance proof, and safety numbers in one folder.
  3. If your people work on location, get your ISNetworld subscription connected and your grade in shape.
  4. Register in the portal the operator uses for purchase orders or invoices.
  5. Make sure the people who would request you know your name before your file reaches procurement.

What an Approved Vendor List Is

An approved vendor list is the roster of companies an operator has vetted and set up to do business with. Some call it an approved supplier list. Getting on it is a paperwork job with a safety test attached. Getting called once you're on it is a separate job.

How Operators Prequalify Vendors

Don't assume one operator's requirements match the next one's.

Apache: An ISNetworld Grade of A, B, or C

Apache's supplier rules from July 2025 say on-site contractors must hold an active ISNetworld subscription connected to Apache and keep an A, B, or C grade. The grade is scored on a safety questionnaire, fatalities, TRIR, DART, and EMR, plus drug and alcohol, MSA, and insurance checks.

Ovintiv: Tax Number, Insurance, OpenInvoice, and ISNetworld

Ovintiv, a Midland Basin operator, asks suppliers for a corporate tax number and proof of insurance and requires them to register in OpenInvoice, according to its prospective-supplier page. On-site service suppliers also have to subscribe to ISNetworld and keep an acceptable grade.

Lithos Resources: The Gate Goes Up Early

Lithos Resources, an operator with about 17,000 net acres in the northern Midland Basin and an office in Midland, chose ISNetworld as its primary contractor information platform as it began drilling. By ISNetworld's own account in a September 2026 case study, Lithos reached 100% contractor subscription compliance three months into implementation. A new operator can have its gate up as soon as it starts drilling. More on the basin in our Permian Basin field guides.

Where Purchase Orders Come From Once You Pass

Approval gets you into the system where the paper moves. ConocoPhillips' supplier relations page says the company issues all purchase orders through its GEP portal, tracks payments through a Taulia supplier portal, and will not issue purchase orders by email.

Register before the first job comes up, so your setup isn't what holds up a field request. And treat any emailed purchase order claiming to be from ConocoPhillips with suspicion, because the company says it doesn't send them that way.

What to Have Ready Before You Apply

Build one folder before you fill out anybody's form.

  • Corporate tax number. Ovintiv asks for it.
  • Proof of insurance. Ovintiv asks for it, and Apache's grade includes an insurance check.
  • ISNetworld subscription and grade. For on-site work at Apache and Ovintiv.
  • Safety numbers and programs. What Apache scores: your safety questionnaire, fatalities, TRIR, DART, and EMR, plus your drug and alcohol program.
  • Portal access. OpenInvoice for Ovintiv. GEP for ConocoPhillips purchase orders and Taulia for its payments.
  • A careful read of the MSA. Foley and Lardner noted in May 2026 that operators frequently present their standard MSA as non-negotiable, so read yours with your own lawyer before you sign; our MSA explainer covers the rest.

Who Requests You From the Inside

Prequalification makes you eligible. Who asks for you depends on the work.

B-P Supply's September 2026 hiring post for a business development rep names the doors worth knocking on: production engineers, facilities engineers, and procurement and supply chain managers (we walk through that posting on our oil and gas procurement page). On a drilling location, the operator's person is the company man, whom the SLB Energy Glossary makes responsible for operational issues on location, safety and efficiency included; selling to the oilfield company man covers his seat.

In 6sense's 2025 B2B buyer report, 94% of buying groups had ranked their shortlist before engaging sellers, so the engineer who requests you is likely choosing from names he already knows (more in where to find oil and gas sales leads). Working the whole group has its own page.

What Procurement Checks That Sales Never Sees

Much of the vetting happens out of your sight. In the 2025 Edelman and LinkedIn B2B Thought Leadership Impact Report, 71% of hidden buyers, such as finance, legal, compliance, and procurement staff, said they have relatively little or no interaction with sales (more from that report). Apache's grade is a good picture of that kind of check: a score built from your safety questionnaire, your safety numbers, and your insurance and MSA checks. A great sales call adds nothing to it.

That's why the honest answer starts with paperwork. Your reputation can get you requested. It can't raise a grade or replace a certificate.

Approved, and the Phone Still Isn't Ringing

If that's you, the paperwork is done and the name work isn't. Even a fourth-generation oilfield man can have a name gap: a Permian founder we work with saw his customer base aging out while the younger engineers didn't know his company existed. Read the full story.

Closing that gap is what The Warm Walk-In™ is for: your know-how, in your own voice, where the engineers and managers who would ask for you can find it, with your yes on every post. How to get an MSA with an oil company, and then get called picks up from there. And if the operator that approved you gets acquired, confirm your standing with the new owner's supply chain team instead of assuming the approval carries over.
